Toast + Shippo Integration User Guide

This guide walks you through integrating Shippo with Toast to streamline your shipping operations.

The integration connects Toast's eCommerce platform with the Shippo multi-carrier shipping platform. Once it's set up, you can generate rates, purchase labels, and manage tracking without leaving Toast.

Before starting the integration, make sure you have:

  • An active Toast account
  • An active Shippo account with API key

If you don't have an active Shippo account yet, you can create one directly from the Toast Shippo app.

Integrate Shippo with Toast

  1. Log in to your Toast account and click on the eCommerce section.
  2. Click Link Shippo Account.

  1. Sign in (or create a free account) for your Shippo account.
  2. Enter your Name, Email Address, and a Password. If you're signing up for the first time, see How to Create Your Shippo Account for a full walkthrough.

  

  1. Approve access when prompted.

  Note: If you have multiple warehouses, set up a separate Shippo integration with a different sender address for each one.

 

  1. Once you allow access, you'll see a Success message.

  1. Return to Toast to complete your account setup.

Configure Vendor Details in Toast

After integrating Shippo, configure your vendor settings as needed in Toast.

Add a sender address

Click the section, configure your address details, then click Save.


Connect Carrier Accounts in Shippo

To use your own carriers in Toast, connect them in the Shippo web app.

  1. Log in to Shippo.
  2. Navigate to the Carriers page.
  3. Click the Settings icon → Carriers.
  4. Click + Connect Carrier Account.

  1. Select a carrier and enter the required information.
  2. Click Submit. Your carrier appears under Your Accounts.

Create Package Templates for Faster Shipping

If you use the same package size(s) often, we'd recommend setting up a package template. Click Set parcel template in Shippo to create your configuration.

Template creation

  1. In Shippo, click the Settings icon from the main dashboard.

  1. Go to Packages in Shippo.
  2. Click + New Template.
  3. Fill out the form and click Save Template. Repeat for any packages you typically use.

  1. Navigate to Rates at Checkout from the left sidebar menu.
  2. Open Packaging, and select a package template.

  1. Return to Toast and refresh the page to see your changes.

Custom dimensions

  1. Choose Custom Dimensions from the dropdown menu.

  1. Select either Box or tube, or Poly mailer.

  1. Enter your Package Dimensions and weight (optional).
  2. Name your package template.
  3. Select Set as default package template for label purchase.
  4. Click Save Template.

Carrier-provided parcels

  1. Choose Carrier Provided Parcels.
  2. Select the carrier-provided parcel you'd like to use from the dropdown menu.
  3. Enter weight (optional).
  4. Select Set as default package template for label purchase.
  5. Click Save Template.

  Tip: You can save up to 25 different package templates.

 

Default item dimensions

  1. In the Toast account, enter the package weight, then set your default unit of measure — choose between grams, kilograms, ounces, and pounds.
  2. Enter your Package Dimensions.
  3. Select your Length Unit — centimeters or inches.
  4. Click Save.


Set Shipping Fees

Back in your Toast account, determine how you'd like to charge your guest for shipping. Click Set shipping fees in Shippo to create your configuration.

  1. Navigate to Rates at Checkout from the left sidebar menu.
  2. Click Add Shipping Option, then select a package template.

  1. Fill out the form and click Save.
  2. Return to Toast and refresh the page to see your changes.

Create a shipping fee menu item

  1. In your left menu at Toast, click Menus → Menu Management.

  1. Select the Online Store group, then click on the item you want to define dimensions for.

  1. Go to the bottom of the section on Measurements.
  2. Set the length, width, height, and weight of your menu item, then click Save.
  Note: If you haven't configured a weight, we'll set a fallback weight and dimensions.

 


Manage Labels

Update your label settings

  1. Log in to your Shippo account.
  2. Click the Settings icon from the dashboard.

  1. Click Labels and Packing Slips.
  2. Customize your label settings.

  Tip: By default, labels are set to 8.5x11in PDF. If you're using a 4x6 thermal label printer, be sure to change your default settings.

Print your label

  1. Go to the Orders section at the bottom of the Toast menu.
  2. Click on the printer logo beside the order you want to print.

  1. You'll be redirected to your Shippo account. Click Buy a label.

  1. Go to Labels and Packing Slips and choose your print order from the dropdown menu:
  • Print labels and slips separately
  • Collate labels and packing slips
  • Single page label and packing slip

  1. Select your Label Format and size.
  2. Select your Packing Slip Format, then click Save.
  Tip: We recommend testing these sizes and seeing the actual labels using test mode for a particular carrier.

 

Create a return label

To designate your preferred carrier and service level for return labels:

  1. Navigate to the Default return label service level section.
  2. Open the Select a carrier dropdown menu and select a carrier.
  3. Open the Select a service level for returns dropdown menu and select a service level.

  1. Check the box for Auto-create return labels for outbound shipments.
  2. Click Save.


Order Fulfillment Methods

To successfully complete automated item shipment, make sure your Shippo integration is active.

  1. Click on Shipping → Manage.
  2. Switch ON to enable nationwide shipping.

  1. Configure notification messages as needed.


Add Guest-Facing Messaging (Optional)

Customize the email shipping notifications that get sent out.

  1. Go to Tracking on your left side Shippo menu.
  2. Define notification settings: enable email notifications, the message, and timing.
  3. Configure a test email and click Save.


Billing and Returns

Billing is handled directly in Shippo (Settings → Account → Billing).

All billing for Shippo services, including shipping labels and subscription fees, is handled directly by Shippo, not Toast. You'll be charged based on your monthly shipping volume, with plans starting at $19/month. For full details, see our pricing.

There's no additional charge from Toast to use the Shippo integration. All billing, invoicing, and receipts come directly from Shippo. If you're new to Shippo, you'll be prompted to choose a subscription plan during onboarding.

Access your billing and invoicing in Shippo

  1. Log in to the Shippo app.
  2. Go to Settings → Account → Billing.
  3. Download invoices, update payment methods, and view pending transactions.

Returns

  • Returns: click the Return Label button in the Sales Order module to generate a return label for credited items on the sales order.
  • Refund a label: click Refund Labels for the selected shipment.

Troubleshooting

Issue Fix
Unable to validate address Verify the full address format (street, suite, city, state, ZIP). Use the USPS validation tool if needed.
Sender address is missing a name Enter both a first and last name, or use a full company name (for example, "Shippo Inc.").
Missing email or phone (USPS) Edit the sender address and make sure both a phone number and email are included.
Invalid name value For international labels, make sure sender and recipient names have at least two words with two or more characters each.
UPS: invalid state/province code Only enter a state for the US, Canada, Ireland, or Australia. Leave it blank for other countries.
UPS: missing or invalid shipper number Re-check your UPS credentials in Shippo. If they're correct, confirm your UPS account number is linked in your UPS profile.
UPS: shipper number can't be used Contact UPS directly — the account may be deactivated or blocked.
UPS: missing shipper phone number Add a phone number for the sender and return addresses under Shippo's Addresses settings.
